Deep Dive

A CRM integration gives the agent two things a human rep has: context before the conversation and a place to record what happened after it. Before the first reply, the agent can know that this phone number belongs to an existing customer with an open deal. After the last reply, the contact, the deal stage, the notes and the next task are updated without anyone typing. In a voice or chat deployment it is the most common integration and the one that decides whether sales actually sees what the agent did.

How it works. The platform authenticates to the CRM (usually OAuth) and maps its fields to the CRM's objects: contact, company, deal or opportunity, activity. At the start of a conversation it looks up the contact by phone number or email and loads the fields you allow the agent to see. During the conversation, extracted data (budget, timeline, product interest) is held in memory. At the end, the integration creates or updates the contact, logs the conversation as an activity with the transcript or summary, sets the lead status, and optionally creates a task for an owner. Field mapping, ownership rules and which objects the agent may write to are configured once.

Why it matters for sales teams. The failure mode of agent deployments is a second system of record: leads live in the agent's dashboard, reps live in the CRM, and nobody reconciles them. Integration removes the gap. It also makes reporting possible: lead source, qualification answers and booked meetings land in the same pipeline reports the team already reads.

Example. A B2B SaaS team puts a chat agent on its pricing page. A visitor asks about seat limits. The agent checks HubSpot by email and finds no contact, asks three qualifying questions, and books a demo through Calendly. HubSpot now has a new contact with source "website chat," a deal in the "demo booked" stage, the three answers as properties, the transcript as a note, and a task assigned to the rep who owns the territory. The rep joins the demo already knowing the company size and the use case.

CRM integration vs real-time CRM sync. Integration is the connection and the mapping; it can write once at the end of a conversation. Real-time sync is a property of that integration: records update as the conversation progresses, so a rep watching the CRM sees the lead appear while the chat is still open. Most teams need the integration first and decide on sync timing afterwards.

Common pitfalls. Duplicate contacts because lookup matches on name rather than phone or email. The agent overwriting fields a rep maintains by hand. No owner assignment rule, so new leads sit unassigned. Transcripts pasted into notes fields with character limits. Writing to the CRM on every turn and hitting rate limits.

Botcadence chat agents document integrations with Salesforce, HubSpot, Zendesk, Google Sheets, JobNimbus and Zapier, and hand off to a person with the full transcript.

Lead status, source, the qualification answers it collected, the activity log and a next-step task. Keep fields reps maintain by hand, such as deal value and close date, read-only for the agent unless a rule says otherwise.

By phone number in E.164 format on calls and by email on chat, with a fallback to asking for the other identifier. Name matching alone creates duplicates.

Use a generic connector such as Zapier or a webhook into your own middleware, which then calls the CRM's API. The agent still fires the same outcome events; only the last hop changes.

A summary plus a link to the full transcript. Full transcripts bloat note fields, can exceed character limits and put personal data in more places than needed.
