Should you use your field-service software's AI receptionist or a standalone one?
If you run Jobber, Housecall Pro or ServiceTitan, your software company now sells an AI receptionist that answers your phone and books straight into your schedule. Jobber's AI receptionist is called Receptionist, Housecall Pro calls it CSR AI, and ServiceTitan calls it the AI Voice Agent. For most shops that only need routine calls booked, the built-in one is the simpler choice, because it already knows your customers, services and calendar. A standalone AI receptionist makes more sense when after-hours emergencies need a persistent on-call escalation, when you need Spanish today, or when you want the same agent across several channels and tools.
We checked each vendor's own pricing pages and help center on October 23, 2026. Everything below links to the page it came from, and where a vendor doesn't publish something, we say so. We build Botcadence, a standalone AI receptionist for HVAC companies, so read our section with that in mind. We have no native integration with any of these three products.

Jobber Receptionist
What it costs. Jobber's help center says Receptionist is included on the Plus plan with unlimited usage, and can be added to select plans for $29 a month with 30 conversations included. Each conversation over 30 in a billing cycle costs $0.79. Calls tagged as spam or "no conversation" don't count.
What counts as a conversation. A call counts when the Receptionist actively engages with the caller. A text conversation stays open for 24 hours, so a back-and-forth on the same day counts once.
What happens at the limit. You choose: keep going and pay overages, or pause. When paused, the Receptionist takes messages but can't book or take other actions until the next billing cycle. For a busy HVAC shop, 30 conversations can go quickly in a heat wave, so decide which setting you want before July.
What it does. It answers questions from your business profile and FAQ, books jobs through your Online Booking form, creates requests, reschedules or cancels appointments if you allow it, and creates follow-up tasks when it takes a message. It can greet known customers by name using caller ID, and you can set different greetings and phone menus for business hours and after hours.
Escalation. You list trigger words such as "emergency" or "gas," then choose one escalation contact and whether the Receptionist texts them a transcript snippet or transfers the call. The escalation contact's number has to be different from your business number.
Setup notes. You need a Jobber dedicated phone number, and you forward your existing number to it. Jobber recommends a 10-second answering delay if you forward from Google Voice.
Housecall Pro CSR AI
What it costs. Housecall Pro doesn't publish a price for CSR AI. It appears on the pricing page as an add-on, with tailored pricing through a demo.
What it does. According to the CSR AI help article, it answers calls, summarizes them and notifies you after each one. With permissions turned on, it books jobs and estimates on your calendar, reschedules and cancels appointments, and uses your services, hours, service area and technician availability. You can set how it handles pricing questions, add custom scripts and choose the voice and tone. It introduces itself as AI at the start of the call.
Escalation. During business hours, it can forward the call to a number you provide, pass it to an HCP Assist agent for note-taking, or end the call politely and send you notes. After hours, it can call you, text you or log the call as a private note, and you can set a separate after-hours number for your on-call line. Housecall Pro says emergency handling is always on, and your setting only changes how you're notified.
Not yet available. The help center lists answering texts and Spanish conversations as coming features. The feature page says text answering is "coming soon."
ServiceTitan AI Voice Agent
What it costs. ServiceTitan doesn't publish a price. Its FAQ says you are billed on usage, and that all calls, regardless of their outcome or the caller's intent, are included in your bill.
Who can buy it. The FAQ says it is designed for residential home services companies in the US and Canada on The Essentials plus The Works packages, with an active Basic Phones integration or Phones Pro.
What it does. It books new jobs, including after hours, using Adaptive Capacity. It confirms and reschedules appointments, recognizes memberships and books recurring service events, and communicates dispatch fees. It can text a secure payment link to a caller who wants to pay an invoice, if ST Payments is on. It switches to Spanish if the caller speaks Spanish, and you can run several agents with their own job types and escalation settings.
After-hours dispatch. When Dispatch Pro assigns a technician to an after-hours job the agent booked, the agent calls and texts the technician with the job details, and retries the call once if they don't answer.
Limits ServiceTitan lists. At launch, it can't negotiate dispatch fees or add call notes, summaries or transcripts to booked job records. Calls it doesn't book get a "Voice Agent Follow Up Needed" tag and an email summary to the people you choose.
Connecting a standalone receptionist through Zapier
If you choose a standalone AI receptionist, the record still has to reach your field-service software. All three have Zapier apps, but they aren't equal, and this is the part most comparisons skip.
| Software | Zapier actions a receptionist could use | Requirements |
|---|
| Jobber | Find or Create Client, Create Request, Create Job, Create Quote, Add Note to Request, Add Tags to Client | A Jobber account connected in Zapier |
| Housecall Pro | Create Customer is the only action; triggers are Job Scheduled and Job Finished | Essentials, Essentials+ or MAX plan, per Housecall Pro's help center |
| ServiceTitan | Create Booking, Create Lead, Create Job, Create Customer, Create Appointment, Search Customers and many more | The Works or Legacy package, a registration form filled out by a ServiceTitan administrator, then a client ID and secret |
What this means in practice:
- Jobber: a standalone receptionist can create a client and a request (or a job) through Zapier, so the office sees the lead in Jobber.
- Housecall Pro: through Zapier it can only create the customer. The job itself has to be booked by your team, or into a separate calendar and then copied.
- ServiceTitan: it can create a booking or a lead for your CSRs to schedule, once your account has API access.
None of these Zapier routes check live technician availability the way the built-in receptionists do. That is the built-in products' biggest advantage.
When the built-in receptionist is the better choice
- Routine booking is most of your volume. Tune-ups, repair requests and estimates booked straight onto the dispatch board with no copying.
- You're already paying for the plan it needs. Jobber Plus includes Receptionist with unlimited usage, and ServiceTitan's agent is built for shops already on The Essentials plus The Works with Phones Pro.
- You want your customer history on the call. All three recognize existing customers, and ServiceTitan and Housecall Pro use your memberships, services and availability.
- One vendor is simpler. One contract, one support line and one place to look when something goes wrong.
When a standalone AI receptionist makes sense
- After-hours emergencies need persistence. A no-heat call at 2 am with an infant in the house shouldn't end with one text to one person. Check whether the built-in option keeps trying the on-call tech, then the backup, until someone replies.
- You need Spanish now. ServiceTitan's agent switches to Spanish. Jobber's help center doesn't mention it, and Housecall Pro lists it as coming.
- Your plan doesn't qualify, or the usage pricing is hard to predict for your volume.
- You use more than one tool. A standalone receptionist can write to your CRM, calendar and messaging channels as well as your field-service software.
- You want to switch software later without retraining your phone answering.
Where Botcadence fits
Botcadence is a standalone HVAC answering service. Here is what it does and doesn't do with these three products:
- No native integration. It reaches Jobber, Housecall Pro and ServiceTitan only through Zapier or webhooks, using the actions in the table above. Our Zapier integration page shows how the connection works.
- Booking. It books into Google Calendar during the call, not into your dispatch board's live availability.
- On-call escalation. For an emergency, it texts and calls your on-call list and repeats on the schedule you set, by default three times, five minutes apart, until someone replies.
- Warm transfer. It can warm-transfer to a technician with a spoken brief before connecting the caller.
- Spanish and texts. It answers in Spanish, and it can text the caller a confirmation during the call.
- Price. It runs on the Voice AI plan, $299 a month with 1,500 minutes, then $35 per 200 extra minutes.
Choosing between them. If you're on Jobber Plus and most of your calls are bookings, start with Jobber's Receptionist. If emergencies and Spanish callers are where you lose jobs, a standalone receptionist with persistent escalation is worth testing alongside it. Our free HVAC emergency triage call script is a good test for any of these options. The AI for HVAC companies hub covers the other channels.
Questions to ask before you choose
- What exactly counts as a billable conversation or call, and do spam calls or hang-ups count?
- What happens when I reach my limit: does it keep answering, pause or take messages only?
- On a gas smell or carbon monoxide call, what does it tell the caller, and who gets alerted?
- If the on-call tech doesn't answer the first alert, does it try again, and does it move to a backup?
- Does it answer Spanish callers today, or is that on a roadmap?
- Does it book against live technician availability, or into a separate calendar?
- Which plan do I need to be on, and does it require a new phone number?
- Can I hear a demo call and see a real transcript before I commit?
