Lapsed member win-back calls for gyms

Every gym has a list of former and inactive members who would come back with a nudge, and no staff time to call them. An outbound voice agent works that list, listens to why they left and books the ones ready to return.

In short

How do AI win-back calls work for lapsed gym members?

You export former members and members who have not visited in a set time, keeping only those who agreed to calls. The voice agent calls inside your hours, names the gym, asks what changed, mentions the return offer you have approved and books a visit or a session with a trainer. Every call is logged with a transcript, and the reasons people give are summarised for the manager.

Worked example

Three months of cancellations as one campaign

Suppose 300 members cancelled or lapsed in the last quarter. These numbers are an example; use your own.

StepExample count
Former members with consent to call300
Reached within two attempts110
Booked a return visit25
Moved away or joined elsewhere, marked do-not-call30
Not reached, sent a text with the offer190

The reasons matter as much as the bookings: if many say the 6am classes were always full, that is a timetable change, not a sales problem.

Consent rules

Calling former members properly

  • Prior consent. US calling rules treat AI-generated voices as artificial voices, so call only people who agreed to calls, for example in the membership agreement. Ask your counsel to confirm the wording covers former members.
  • Name the gym at the start and say why you are calling.
  • Calling hours and limits: call at reasonable times in the member's time zone, two attempts at most.
  • Opt-outs: stop calling anyone who asks, and record it.
  • No pressure on contracts. Questions about fees owed or past cancellations go to staff, under your contract terms.

The script

Ask first, offer second

"Hi, this is the assistant calling for Summit Fitness. You were a member until March, and we wanted to ask how things are going and whether anything would bring you back." The agent listens, records the reason, and only then mentions the offer, such as a free week back or a session with a trainer. If someone mentions an injury, it gives no advice and offers a trainer consultation once they are cleared by a doctor.

Minutes and cost

Sizing a campaign on the Voice AI plan

The Voice AI plan is $249/month with 1,500 minutes, shared between inbound and outbound. Using example timings of three minutes per answered call and under a minute per unanswered attempt, the 300-member campaign above uses roughly 600 minutes. Top-ups are 200 minutes for $25 if the front desk line is busy the same month.

Common Questions

Gym win-back call questions

Former members and long-inactive members who consented to calls, excluding anyone who left over a complaint still open, anyone with an outstanding balance dispute and anyone who asked not to be contacted.

No. Inbound membership questions are a separate job. Win-back calls go out to people who already know the gym, so the call is shorter and starts by asking what changed.

It books a return visit or a talk with staff; the membership itself is signed with your team under your contract. That keeps pricing and terms consistent with what the desk offers.

Each call's transcript and reason are logged, and you can send them to Google Sheets or Slack. Review them monthly: patterns in timetable, crowding or staff feedback are often worth more than the bookings.
