Deep Dive
An AI sales agent is the front end of a sales pipeline. It greets a prospect on web chat, WhatsApp, Instagram or a phone line, finds out what they need, checks fit, and either books a meeting or hands the conversation to a rep with the transcript. It sits between marketing traffic and the human sales team, doing the first ten minutes of every conversation so the team only enters when a person is worth their time.
How it works. The agent runs on a large language model with a system prompt that defines the offer, the qualification criteria and what it may promise. Its inputs are the prospect's messages, the knowledge base (pricing pages, product docs, FAQs) and the CRM fields that already exist for that contact. On each turn it answers the question asked, then asks one qualifying question: company size, timeline, budget range or location. When the criteria are met it offers calendar slots through an integration such as Calendly or Google Calendar, writes the lead and a summary to the CRM, and notifies the owner. When a prospect asks for something outside its scope, a discount or a custom contract, it routes to a human.
Why it matters for sales teams. Most inbound interest arrives when nobody is watching the inbox, and reps spend a large share of their day on conversations that were never going to close. An agent that answers in seconds, qualifies consistently and books while intent is high raises the share of meetings that are real. It also records every exchange, so objections and lost reasons are searchable instead of living in one rep's memory.
Example. A B2B SaaS team sells a scheduling tool. At 11 pm a visitor opens chat and asks whether it supports two-way sync with Outlook. The agent answers from the docs, then asks how many users would need seats. The visitor says 40. That crosses the team's threshold, so the agent offers three demo slots for the next day, books one, creates the contact in HubSpot with the transcript attached, and posts a Slack note to the account executive. The rep starts the demo already knowing the integration question and the seat count.
AI sales agent vs AI appointment setter. An appointment setter has one job: turn a lead into a booked slot. A sales agent covers the wider conversation, including answering product questions, qualifying out poor fits and handling first-line objections such as price or integrations. Many teams run a sales agent on inbound chat and a narrower appointment setter on outbound voice.
What to measure. Track leads contacted within one minute, qualification completion rate, booked-meeting rate, show rate, and the share of conversations handed to a human. A rising handoff rate on one topic usually means the knowledge base is missing a page, not that the agent is failing.
Botcadence chat agents run this flow on web chat, WhatsApp, Instagram, Telegram, Slack, SMS and email, with lead scoring and human handoff built in; see the sales chatbot use case.

AI Sales Agent FAQs
It should not. Give it the published price list and a rule to route discount or custom-contract requests to a named rep. Negotiation needs judgment and authority the agent does not have, and a wrong promise is costly to walk back.
Read access to existing contact and company fields so it does not ask for information you already hold, and write access to create leads, attach transcripts and set a stage. Pipedrive, HubSpot, Salesforce and Zoho CRM are common targets.
Between two and four. Put the question that disqualifies most often first (location, company size or timeline), and let the agent answer the prospect's own question before each one so the exchange does not feel like a form.
Yes, for the first conversation: answering questions, confirming fit and booking a call with a person. The close stays with the rep; the agent's value is that the rep's first meeting starts with context instead of discovery.
